Job Description
Calendar Management:
- Manage and coordinate executive leaders' calendars, including scheduling meetings, appointments, and travel arrangements.
Communication:
- Act as a central point of contact for internal and external stakeholders, handling inquiries, emails, and phone calls on behalf of executives.
- Draft and proofread correspondence, reports, and presentations.
Meeting Coordination:
- Arrange and coordinate meetings, conferences, and events, including logistics, agenda preparation, and minute-taking as required.
- Prepare meeting materials and ensure timely distribution to participants.
Travel Arrangements:
- Coordinate travel plans, including flight bookings, hotel accommodations, and transportation, ensuring efficient and cost-effective arrangements.
Document Management:
- Organize and maintain executive leaders' files, records, and documents in both physical and electronic formats.
- Assist in document preparation and distribution for various meetings.
Confidentiality:
- Handle sensitive information with the utmost confidentiality and discretion.
Job Requirements
- 2-3 years of relevant experience as Executive Secretary to CEO or Director.
- Thorough understanding of clerical and secretarial principles.
- Must have experience in Calendar Management, Meeting Coordination, Travel Arrangements, Document Management.
- Bachelor's degree in Business Administration, Secretarial Studies, or related field.
