Job Description

  • Oversee the management and maintenance of office facilities, including space planning, utilities, and security.
  • Ensure a clean, safe, and well-organized working environment for employees.
  • Lead and manage administrative staff responsible for tasks such as reception, mail distribution, and office supplies procurement.
  • Implement and enhance administrative procedures to optimize efficiency.
  • Negotiate and manage contracts with external service providers, including facility maintenance, security, and other relevant vendors.
  • Evaluate vendor performance and ensure cost-effectiveness.
  • Ensure compliance with health and safety regulations and implement protocols to create a secure working environment
  • Oversee travel arrangements for employees, including booking accommodations, transportation, and managing travel related expenses.  
  • Develop and enforce travel policies and guidelines.
  • Plan and coordinate office events, meetings, and conferences.
  • Collaborate with various departments to ensure seamless execution of events.
  • Monitor expenditures and identify opportunities for cost savings.
  • Oversee the organization and maintenance of records, files, and documentation.
  • Implement document retention policies and ensure compliance with data protection regulations.

Job Requirements

  • Bachelor's degree in Business Administration, Management, or related field (
  • 8-10 years of experience in managing office facilities, including space planning, maintenance, security, and housekeeping. 
  • Excellent organizational and time management abilities, with a keen attention to detail.
  • Proficiency in MS Office and other relevant software applications.
  • Knowledge of relevant regulations and compliance standards.
  • Exceptional communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Demonstrated problem-solving and decision-making abilities.
