Job Description
- Oversee the management and maintenance of office facilities, including space planning, utilities, and security.
- Ensure a clean, safe, and well-organized working environment for employees.
- Lead and manage administrative staff responsible for tasks such as reception, mail distribution, and office supplies procurement.
- Implement and enhance administrative procedures to optimize efficiency.
- Negotiate and manage contracts with external service providers, including facility maintenance, security, and other relevant vendors.
- Evaluate vendor performance and ensure cost-effectiveness.
- Ensure compliance with health and safety regulations and implement protocols to create a secure working environment
- Oversee travel arrangements for employees, including booking accommodations, transportation, and managing travel related expenses.
- Develop and enforce travel policies and guidelines.
- Plan and coordinate office events, meetings, and conferences.
- Collaborate with various departments to ensure seamless execution of events.
- Monitor expenditures and identify opportunities for cost savings.
- Oversee the organization and maintenance of records, files, and documentation.
- Implement document retention policies and ensure compliance with data protection regulations.
Job Requirements
- Bachelor's degree in Business Administration, Management, or related field (
- 8-10 years of experience in managing office facilities, including space planning, maintenance, security, and housekeeping.
- Excellent organizational and time management abilities, with a keen attention to detail.
- Proficiency in MS Office and other relevant software applications.
- Knowledge of relevant regulations and compliance standards.
- Exceptional communication skills, both written and verbal.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Demonstrated problem-solving and decision-making abilities.
